How to Request an Accurate PP / PE Pipe Quotation

Why Complete Specifications Matter

A plastic pipe quotation is not determined by diameter alone. Material grade, outside diameter, wall thickness, SDR, pressure basis, length, color, marking, testing, packing and delivery term can all change the price. Two offers that appear to describe the same pipe may therefore be based on different products.

A good RFQ helps the supplier prepare a comparable quotation and reduces repeated email exchanges. It also prevents the buyer from selecting a low price that does not meet the project requirement.

Core RFQ Fields

Material Grade and Standard

Do not write only “PE” or “PP pipe” when the project specifies a grade or standard. Material grade can affect strength, processing, documentation and cost. The standard defines dimensions, tolerances, marking and test expectations.

When the buyer does not know the standard, the inquiry should still explain the application and destination market. The supplier can then identify which questions must be resolved before a formal offer is issued.

Diameter, Wall Thickness and Pressure

Outside diameter alone is not enough. For PE pipe, wall thickness or the specified pressure basis is essential. For custom PP, PVC, ABS or PC tubing, both outside and inside diameter may be required, together with tolerance, straightness, load and temperature requirements.

Provide normal and maximum operating pressure. Pumped systems should also describe surge or elevation conditions. Temperature should be included because thermoplastic performance changes with service temperature.

Quantity and Length Format

State quantity by size and preferably in both pieces or coils and total meters. For example:

• OD110 mm, SDR17: 834 pieces × 12 m = 10,008 m
• OD63 mm coil pipe: 40 coils × 100 m = 4,000 m

This format helps production planning, packing and shipment reconciliation.

Packing and Container Planning

Packing affects delivered cost and damage risk. The supplier should know whether the buyer requires:

• Individual coil or bundle labels
• Protective film or end protection
• Size-separated bundles
• Long cartons for small custom tubing
• Palletized or non-palletized loading
• Maximum bundle weight
• Container-loading photos or records

Large pipe, long straight lengths and mixed-size orders should be reviewed for container utilization before the order is finalized.

Documentation and Inspection

State any required documents in the RFQ. These may include a commercial invoice, packing list, certificate of origin, material declaration, dimensional report, test report or third-party inspection. Availability and cost depend on the product and project.

A Better Inquiry Example

We require PE irrigation pipe for a buried rural distribution project. Material: PE100. Size: OD110 mm, SDR17. Target pressure basis: PN10, subject to the stated project standard. Color: black with blue identification stripes. Length: 12 m per piece. Total quantity: approximately 10,000 m. Packing: export bundles with size labels. Destination: Manila, Philippines. Trade term: CIF Manila. Please state material grade, applicable standard, unit weight, lead time, packing dimensions and quotation validity.

This example gives the supplier enough information to identify technical gaps and prepare a meaningful offer.

Common RFQ Mistakes

1. Requesting “best price” without size or quantity.
2. Mixing DN, OD and inch sizes without a reference drawing.
3. Providing PN but not material grade or temperature.
4. Omitting length per piece or coil.
5. Combining several sizes into one total quantity.
6. Forgetting the destination port and trade term.
7. Requesting certificates only after production.
8. Comparing offers with different packing or freight scope.

How to Compare Returned Quotations

Create a comparison table using the same columns for every supplier: material, standard, OD, wall thickness or SDR, pressure basis, length, quantity, unit weight, price term, packing, lead time, documents and validity. Mark any missing item as “not confirmed” rather than assuming it is included.

A first inquiry can still be short:
